Clan Little Society, Inc will be referred to CLSi throughout this document. This privacy policy will explain how our organization uses the personal data we collect from you when you use our website.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

CLSi would like to send you information about products and services we provide which we believe you might like.

  • All mailings will be from CLSi, as we will not share your details with any other company.
  • You will receive information through our newsletter, which may include information about upcoming Scottish Highland Games where we may or may not have a tent presence

If you have agreed to receive marketing, you may always opt out at a later date.

You have the right at any time to stop CLSi from contacting you for marketing purposes.

If you no longer wish to be contacted for marketing purposes, please send an email to the secretary, or click on the link at the bottom of the last mailing you received from us.

Data Collection

What data do we collect?

CLSi collects the following data:

  • Personal identification information (Name, email address, phone number, date of birth, etc) for membership purposes.
  • Personal Genealogical information, both living and deceased.

You directly provide CLSi with all of the data we collect. we collect data and process when you:

  • Register to become a member
  • Place an order for any of our products or services.
  • Voluntarily complete a customer survey or provide feedback on any of our message boards or via email.
  • Use or view our website via your browser’s cookies.

How do we store your data?

CLSi does not store your credit card or other banking information. You will login securely to the PayPal service for this functionality.

CLSi securely stores your membership data at our host.

CLSi will keep your genealogy data until you request us to remove it from our files or systems. You can request deletion of your data by contacting genealogist@clanlittlesociety.org and requesting that your information be removed from our files or systems.

Who we share your data with

If you request a password reset, your IP address will be included in the reset email.

When ordering items from our online store, we use PayPal for order processing, and therefore your order information will be shared with PayPal as well as our fulfillment partner.

Where your data is sent

Visitor comments may be checked through an automated spam detection service.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

When corresponding with our society via forms or via email, your communication is retained as long as necessary to complete the request.

Purchase information is retained as long as necessary to fulfill and report on such purchases which includes this website, as well as PayPal and our fulfillment partner. Purchase data retention may be held up to 7 years, or as long as law requires.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

For society members who share their Family Geneaology Charts, this information is added to our Geneaology database and is made available to other members of the society for Geneaology research purposes. Members can request that their data be removed from our database, or choose not to share their family group sheets.

CLSi would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

The right to access – You have the right to request CLSi for copies of your personal data. We may charge you a small fee for this service.

The right to rectification – You have the right to request that CLSi correct any information you believe is inaccurate. You also have the right to request CLSi to complete the information you believe is incomplete.

The right to erasure – You have the right to request that CLSi erase your personal data, under certain conditions.

The right to restrict processing – You have the right to request that CLSi restrict the processing of your personal data, under certain conditions.

The right to object to processing – You have the right to object to CLSi’s processing of your personal data, under certain conditions.

The right to data portability – You have the right to request that CLSi transfer the data that we have collected to another organization, or directly to you, under certain conditions.
